Early Stage Filtering
Stratify Legal Discovery OnPoint provides a robust set of search, analytical and organizational capabilities that accelerate early stage filtering and enable attorneys to develop defensible processes for identifying relevant documents that will need to be reviewed in detail.
- Advanced search functionality
- Full Text Searching. Search the full body of documents or emails for terms and phrases in any combination.
- Powerful Boolean Queries. Construct queries of any complexity using Boolean operators (such as AND, OR, NOT, etc) using textual terms from the body of documents and/or emails together with metadata values.
- Advanced Metadata Searching. Search using metadata extracted from documents and emails (such as title, author, sender receiver, timestamp, etc.), metadata created by reviewers during the review using Custom Coding fields, or metadata that is part or the review workflow, such as tags or annotations.
- Scoped Search. Focus the search by restricting queries to specific Concept folder(s), Smart Issue folder(s), tag(s) and/or Personal Work folder(s).
- Hit Highlighting. Locate all instances of keyword search terms in documents and emails so that no occurrence is missed; navigate from hit-to-hit and quickly find key search terms in context
- Concept Organization. Enhances traditional search by automatically bucketing search results into pertinent concept folders, minimizing the need to refine searches to find relevant documents..
- Metadata-based Faceted Search. Drill down and "slice-and-dice" search results in real time by designated metadata fields to identify relevant documents.
- Automatic concept organization. Quickly identify relevant groups of documents for review using matter-specific concept folders that organize similar groups of documents by concepts
- Random sampling technology. Sample the document universe to identify key custodians and keywords to use to efficiently filter the universe of restored data
- Near-duplicate detection. Quickly filter and review near duplicates in context, batch-tag as a group, and reduce data volumes while developing a defensible process.
For clients who prefer to use defined keywords to automatically filter the document universe, Iron Mountain can invoke keyword based filtering during processing and enable clients to move directly to the review interface.
Review and Production
All of the capabilities available in the filtering interface are also provided in review. In addition, examination of reviewable documents leverages the complete set of review and analysis capabilities of Stratify Legal Discovery, including the following additional capabilities:
- Native File document review:
- In addition to directly viewing 400+ file types in the document viewer, Native File review is provided for Microsoft Office files using embedded native applications within the review environment; no client software needed
- Access the embedded metadata within the document, e.g. tracked changes within Microsoft Word, formula, hidden columns and comments in Microsoft Excel etc. BENEFIT: Access to embedded metadata is critical for review and analysis where hidden metadata in the documents underlies the meaning and intent of the final document.
- Advanced Lotus Notes support. Review Lotus Notes emails and customized forms and layouts that contain semantically-rich presentation with accurate Lotus Notes Client Designer “look and feel” that preserves compound documents and rich text data including fonts and formatting.
- Smart Issue folders. Organize the evolving document universe to meet your needs with powerful attorney-defined Smart Issue folders that auto-populate as the eDiscovery matter progresses. Quickly identifies documents by custodians, keywords or Boolean queries to accelerate the filtering process.
- eDiscovery Analytics: In addition to the robust search capability provided in both the filtering and review interfaces, Stratify Legal Discovery OnPoint includes the following advanced analytical capabilities to accelerate the review:
- Automatic Concept Organization: Quickly identify relevant groups of documents for review using matter-specific concept folders that organize similar groups of documents by concepts.
- Stratify Document Analytics™: Generate document-based reports on 30+ risky metadata fields and their occurrence within Microsoft Office documents
- Stratify Visual Email Analytics™: Utilize graphical email maps to examine the communication patterns and relationships between senders, receivers and intermediary correspondents, and examine email message units for a specific correspondent or between a sender and receiver.
- Random Sampling: Randomly sample documents based upon tagging to validate tagging accuracy and reviewer quality, in production sets to ensure documents should be produced, within a set of documents to get an overview understanding of document content, and for general quality control checks during review (eg - redaction, coding, etc)
- Review capabilities:
- Tags: Simultaneous review and tagging of documents by multiple reviewers. Supports different tagging systems like group tags, batch tagging, message-unit tagging and customizable tags.
- Annotations: Add annotations to support the creation of the Privilege Log. These annotations, together with other relevant metadata such as Author, Date, Bates ranges, etc. create the Privilege Log.
- Coding: Use matter-specific coding fields to process OCR documents, or create privilege logs
- Highlighting: Highlight any text or rectangular area; automatically finds and highlights any word or phrase across an entire document — a handy mechanism to identify key terms or areas of a document for other attorneys or reviewers
- Redaction: Redact documents in real time within the review application, and save as a PDF with all redacted text and images expunged from the file.
- Review Workflow: Assign documents to review teams or individual reviewers to organize the review and track productivity using Task Assignments. Matter managers can use concept folders and Smart Issue folders to efficiently assign documents to reviewers. They can also ensure documents are assigned only once, while taking advantage of the concept hierarchy to create reviewer tasks.
- Review security: Manage access to documents and specific metadata during review with a robust, flexible security architecture based on customized user groups and system roles.
- Role-based and group security within the application ensures that reviewers can only access data and product capabilities for which they are authorized.
- Post-Production Lockdown. In a rolling review, documents are produced in batched sets. Many clients find it helpful to secure these produced documents in order to preserve their tagging and redaction selections. Making these documents “read only” maintains the integrity of the produced documents as the review continues.
- Reporting: Stratify’s reporting module enables attorneys, litigation support managers and case managers to effectively manage the workflow and monitor review activity so that they can identify and challenge questionable tagging.
Advanced eDiscovery Packages
Iron Mountain provides two additional packages of advanced capabilities that attorneys can select for their matter based upon specific requirements:
- Complex-language support
- Index and search non-UTF8 foreign language data (including Chinese, Japanese, Korean, and Thai) as well as foreign language documents in Outlook-2003 format.
- Easily search foreign language documents from computers configured with the US-English locale or foreign language locale such as Japanese. Foreign language terms can be used to search the document text as well as text-based metadata fields, such as title, author, annotation, etc. Phonetically enter terms in Chinese, Japanese, Korean or other supported complex languages with a toolbar setting.
- Review properties, and add or edit annotations, privilege logs and custom codes in foreign languages
- All Iron Mountain eDiscovery Analytics are also designed to manage complex, multi-byte languages ( for instance, CJKT documents will be organized into language specific folders to the greatest degree possible).
- Complex matter support
- Multi-party/review team support. Establish multiple parties or review teams within a matter to segment and secure work product as well as establish permissions as appropriate for document and metadata access. Corporate counsel can work together with multiple outside counsel, expert firms, and regulatory agencies on a matter, securing or sharing access to documents, emails and other information while safeguarding their work product and productions
- Automated Workflow: Develop automated, multi-tier workflow using work pools that are automatically populated based on flexible and powerful query based transition rules using document metadata, work product, and system metadata
